Privacy & Cookie Notice
Effective 25 August 2026. This is the current version.
Who we are
Soulogix is a software engineering and IT services company based in Greater Noida, Uttar Pradesh, India. We decide why and how the personal data described here is handled — in the language of India's Digital Personal Data Protection Act, 2023, we are the Data Fiduciary for it.
For anything on this page, including a request to see or delete what we hold, write to hello@soulogix.com.
What we collect, and what happens to it
There are three separate things on this page. The first is what you tell us on purpose, by filling in the contact form. The second is what your browser stores while you read the site. The third is what reaches other companies simply because a page loaded. They are handled differently, so they are described separately.
When you use the contact form
The form asks for five things. Only three of them are required:
- Your name — required.
- Your email address — required, because it is how we reply.
- Your message — required.
- Your phone number — optional. Leave it blank and we will only ever email you.
- The project or service you are asking about — optional.
That is the whole list. We collect nothing else about you through the form, there is no tracking pixel behind it, and nothing you type is used to build a profile of you.
We use what you send for one purpose: to answer you, and to carry on the conversation if it turns into a piece of work. We do not sell it, we do not add you to a mailing list, and we do not pass it to anyone outside the services listed below.
Our lawful basis is your consent, given by choosing to send the form. You can withdraw it at any time — see Your rights below.
Where an enquiry is stored
Each submission is written to three places, so an enquiry cannot be lost to a service outage:
- Our mailbox. The enquiry is emailed to our hello@soulogix.com address, which runs on Microsoft 365.
- A private spreadsheet. A row is added to a Google Sheet held in our Google Drive, so we can see which enquiries have been answered. It is shared only with named accounts inside Soulogix — it is not published, and it is not readable by link.
- Our server log. A copy is written to the application log before either of the above is attempted. This is what stops an enquiry disappearing if email or the spreadsheet is unavailable at that moment.
Microsoft and Google act as processors for us, and both may hold the data on servers outside India. Our hosting provider also keeps ordinary web-server logs, which include the IP address your request came from, the page you asked for and the time — in the normal way for any website, and used only to keep the site running and secure.
You are given a reference such as SX-260816-1C9842 when you submit the form. Quote it if you write to us about your enquiry — it is how we find the right record.
How long we keep it
Enquiries that do not lead to work are deleted after 24 months. Where an enquiry becomes a project, the correspondence is kept for as long as we are required to keep business records. You can ask us to delete yours sooner.
Spam protection
The form carries two hidden checks that collect nothing about you: a field people never see and automated scripts tend to fill in, and a timestamp that catches submissions made faster than a person could type.
Alongside them the form uses Cloudflare Turnstile, which decides whether a submission came from a person without setting you a puzzle. To do that, Cloudflare receives your IP address and signals about your browser, and may store a token in your browser for the check. It is a security measure rather than an analytics one, so it runs whether or not you accept analytics — the form cannot be protected from abuse only for the people who opt in. Cloudflare acts as our processor and does not use it to advertise to you.
What this site stores on your device
Strictly necessary
These are set because the site cannot work correctly without them. They are not used to track you and are not shared.
- sx-cookie-consent — records whether you accepted or declined analytics, when you chose, and which version of this notice you were shown. Kept in your browser's local storage for twelve months, after which you are asked again. It is never sent to our servers.
- .AspNetCore.Antiforgery.* — a security cookie that proves a form submission came from our own page and not from someone else's. It holds no information about you and is deleted when you close the browser.
- .AspNetCore.Mvc.CookieTempDataProvider — carries the "thank you" message across the redirect after you send the form, and is removed as soon as that message has been shown.
Analytics — only if you accept
If you choose Accept all, Google Tag Manager and Google Analytics are allowed to set their own cookies to measure which pages are visited and how people arrive at the site. These are used in aggregate, to decide what to improve.
If you choose Essential only, analytics storage stays switched off. This is enforced through Google Consent Mode, which is set to deny storage before any tag loads, not after — so nothing is written and then withdrawn.
Companies your browser contacts when a page loads
Parts of this site are served by other companies. Loading a page asks them for those files, which means they see your IP address and which page asked. We send them nothing else, and none of them is given your enquiry.
- Google Fonts — the typefaces the site is set in.
- Google Hosted Libraries, jsDelivr and cdnjs — shared code libraries and icon fonts.
- Cloudflare — the Turnstile check on the contact form, described above.
- Google Tag Manager — only after you accept analytics.
Changing your mind
Use the Cookie settings link at the foot of any page to bring the banner back and choose again. Clearing your browser's site data for soulogix.com has the same effect.
Your rights
Under India's Digital Personal Data Protection Act, 2023, you can ask us to show you what we hold about you, correct it if it is wrong, or erase it. You can also nominate someone to exercise these rights on your behalf, and withdraw your consent at any point — that does not undo anything already done, but it stops anything further.
Write to hello@soulogix.com and we will act on it. If you are not satisfied with how we handle your request, you may raise it with the Data Protection Board of India.
Keeping it safe
The site is served over HTTPS, so what you type into the form is encrypted in transit. Access to the mailbox and the enquiry spreadsheet is limited to named Soulogix accounts. No system is perfect, and we do not claim otherwise — but we do not keep data we have no use for, which is the part that matters most.
Children
This is a business-to-business site and is not directed at children. We do not knowingly collect data from anyone under 18. If you believe a child has sent us something through the form, write to us and we will delete it.
Changes to this notice
When this notice changes, the effective date at the top changes with it. Where a change affects what is stored on your device, the cookie banner is shown again so you can answer for the new version rather than being held to an answer you gave about the old one.
